While you can still schedule the tasks in your calendar to work on, you’re not dedicating a specific amount of time to work on those tasks. Traditional scheduling works better if you have a lot of short, reactive tasks to complete, or if you need more flexibility in your day. That being said, it can also lead to you wasting your time if you’re not careful.

One of the things that I like about time blocking is that it provides a little bit of structure while also allowing for a little bit of flexibility throughout your day. Here are some key benefits of using time-blocking strategies:

Time-blocking is something that you can easily get started implementing today! I highly recommend that you do this digitally using whatever digital calendar app that you use. This can make sure that it is in sync with your work calendar. Here are the steps that I recommend you take to get started:

  1. Outline what your ideal day looks like. Include things that pertain to both your professional and personal life. Ask yourself things like, Do I want to work out in the mornings? Do I give myself time to eat breakfast? Do I give myself time to work on my side hustles or my passions? When is the time that I’m going to be working on my nine-to-five job? Create an outline and plan it out.
  2. Schedule your tasks and meetings within the allocated time blocks. On your calendar app, schedule time to do each task within the time block. Make sure that you are including the group of tasks that you had within your time block. For example, since I have a lot of meetings in the afternoon for my job, I allocate the tasks that involve being in a deep flow in the morning. This allows me to ensure that I am allocating the appropriate amount of time to work on my tasks.

Once you do those two things each day, you’ll have a daily action that will help your days run smoothly without the stress and overwhelm.

Effective time-blocking techniques

  • Microsoft Outlook Calendar: Similar to Google Calendar, you can use Outlook’s calendar feature to block out time for specific tasks. It’s especially useful if you’re already using Outlook for email and task management.
  • Todoist: Todoist is a task management app that allows you to create to-do lists and schedule tasks. While it’s not specifically designed for time-blocking, you can use it to plan out your tasks and then block out time in your calendar to complete them.
  • Notion Calendar: Notion is a productivity tool that helps you manage tasks, projects, and ideas. Notion recently launched its Notion Calendar which can allow you to combine your tasks in Notion with your Google calendar.

This is because you are still trying to better understand how long you take to realistically do certain things. Here are some tips that I recommend to help you implement time-blocking techniques:

Track how you currently spend your time to identify patterns, high-productivity phases, and potential time wasters. Having this insight will help guide you in creating more realistic and effective time blocks.

These are extra time blocks that give you the flexibility to manage interruptions, unexpected tasks, or spillover from previous tasks. This can help maintain your schedule’s integrity without feeling overwhelmed or stressed.
