The past few months of 2023 have reinforced the notion that life is constantly changing. This requires us to adapt and make the most of each situation. Adjustments to our routines and flow may be necessary, and that’s perfectly normal. During such times, it’s essential to stay connected to your personal goals and let them serve as a compass. The key to improving your time management skills is having a reason for wanting to improve them. While there is satisfaction in bettering yourself, that can’t exist without understanding the purpose behind your productivity. Without it, you won’t be as efficient with your time, which will bring you back to where you started.
When working with clients in enhancing productivity and time management, I prioritize understanding their goals. Without a clear sense of purpose, progress becomes challenging. To address this, I developed the Purposeful Productivity Framework. This is a powerful tool for achieving optimal productivity across all aspects of life.
The Purposeful Productivity Framework has four steps:
- Purpose: Identify the focus areas in your life that you want to increase your efficiency and why.
- Process: Take an active approach to identify and define the individual steps involved in accomplishing specific tasks within each area.
- Polish: Audit any of the existing workflows to find areas to improve
- Produce: Revamp your system or routine that allows you to get more done efficiently
When you’ve done the work to be intentional about how you work and what you want to accomplish, you can see the actions you need to take more clearly. Having clarity provides you with the direction to be more effective and to get more out of each day in a way that isn’t overwhelming.
Practical Time Management Tips & Strategies
When it comes to managing my time, I have some tips and strategies that have helped me. Here are my top 10:
- Having a morning routine: Giving myself an hour each day to focus on myself helps me recenter and ground myself before I tackle whatever the day has for me.
- Designating days: I try restricting meeting-heavy days to 1-2 days a week. This enables me to effectively engage with the necessary individuals at work while also ensuring sufficient time for completing essential tasks and reflecting on the discussions that took place throughout the workday.
- Time blocking: I want to make sure that I give myself at least 2-3 hours of focus time each day. During this focused time, I play energizing music on Spotify and apply the Pomodoro method to efficiently complete my work. I prioritize uninterrupted sessions, refraining from checking Slack messages unless it’s during designated break times.
- Daily planning: Every day, I look at my to-do list and my calendar and write it down on a physical planner. This helps me identify what gaps I have in the day for me to complete the tasks.
- Pomodoro Method: When faced with a substantial work block, I activate a timer for three 25-minute intervals, interspersed with 5-15 minute breaks. This structured approach boosts productivity and prevents burnout by promoting regular breaks for rejuvenation. This can help me stay focused and productive and prevents burnout or fatigue from long periods of work without a break.
- Prioritize your tasks: When you’re looking at your to-do list, outline the top 3 things that you need to do in order to consider your day a success. Next, focus on accomplishing those top three tasks. Although additional tasks may arise throughout the day, completing those three key priorities establishes a solid foundation for the day ahead.
- Use your calendar: While you may think that you’ll just remember certain things, having them on a calendar ensures that you won’t forget. Using your calendar for not just meetings but for appointments, tasks, and social engagement can help make sure that nothing is falling through the cracks.
- Take breaks: When you’re feeling burnt out, it’s important to take a break. Get up and stretch, go for a walk, or do something else that gives your mind a chance to rest.
- Avoid multitasking: While it may seem like you’re getting more done by multitasking, it’s actually less efficient. Instead, focus on one task at a time and give it your full attention.
- Delegate: While it may be tempting to try and do every single thing yourself, you can free up time when you delegate tasks to other people. Part of being good at managing your time is also understanding what is a good use of your time. Delegate what you can so you can focus on what’s important.
